(“HEYI”, “we”, “us” or “our”) collects, uses, shares and protects personal data when you visit heyipt.com, contact us, request a quotation or technical review, or submit information through a lead form on LinkedIn, Google or another advertising platform.

2. Personal Data We Collect
Depending on how you interact with us, we may collect:
- identification and business contact data, such as your name, work email address, telephone number, job title, company name and country;
- inquiry and application data, such as your message, requested product, workpiece material, hole dimensions, tolerances, machining conditions, drawings and other files you choose to provide;
- quotation, order and customer-service data;
- information submitted through LinkedIn Lead Gen Forms, Google lead forms or similar services;
- technical and usage data, such as IP address, browser type, device information, referring page, pages viewed, timestamps and security logs; and
- cookie and analytics data where permitted and, where required, after you have provided consent.
Please do not send special-category personal data or personal data that is not necessary for your tooling inquiry.
3. How We Use Personal Data and Our Legal Bases
We process personal data for the following purposes:
- Responding to inquiries and performing technical or quotation reviews. We use the information you submit to understand your application, communicate with you and prepare a recommendation or quotation. Where applicable, this is necessary to take steps at your request before entering into a contract. For business contacts, we may also rely on our legitimate interest in responding to genuine B2B inquiries and developing customer relationships.
- Performing contracts and providing customer service. We use data to process orders, supply products, provide after-sales support and manage the business relationship.
- Operating and protecting our website and systems. We use technical data for security, fraud prevention, troubleshooting and service improvement based on our legitimate interests in operating a secure and effective website.

4. LinkedIn and Other Advertising Lead Forms
When you submit a LinkedIn Lead Gen Form connected to a HEYI advertisement, LinkedIn provides the form information to us. We use that information primarily to respond to the tooling inquiry or technical-review request described in the form and advertisement.
LinkedIn separately processes information under its own privacy policy. The same principle applies to Google or another advertising platform that provides a lead form. Please review the privacy information of the platform you use:
If we wish to use lead-form information for a materially different purpose, such as a newsletter, we will request separate consent where required.
5. Cookies and Similar Technologies
Our website may use necessary cookies to operate and protect the site. Analytics, advertising or other non-essential technologies are used only as permitted by applicable law and, where required in the European Economic Area (EEA), after consent. 6. How We Share Personal Data
We may share personal data only as necessary with:
- hosting, email, website, security, analytics, CRM or other service providers acting on our instructions;
- LinkedIn, Google or another platform involved in delivering the form or advertisement, subject to that platform’s own privacy terms;
- logistics providers, professional advisers or business partners where necessary to respond to or fulfil your request; and
- public authorities or other parties when disclosure is required by law or necessary to establish, exercise or defend legal claims.
We do not sell personal data. We require service providers acting on our behalf to protect personal data and use it only for the agreed services.
7. International Data Transfers
HEYI is established in China. If you are located in Germany, Italy or another EEA country, the personal data you submit to us will be transferred to and processed in China, which is outside the EEA.
Where the GDPR requires an international-transfer safeguard, we will use an available lawful mechanism and appropriate technical and organisational measures before making the relevant transfer. You may contact us to request information about the safeguard applicable to your data.
Some service providers may also process data in other countries. Their transfers are governed by their own arrangements and, where they act on our behalf, our contractual requirements.
8. Data Retention
We retain inquiry and lead information only as long as reasonably necessary for the purposes described above. Unless a longer period is needed for an active business relationship, dispute or legal obligation, we normally delete or anonymise inquiry records within 24 months after the last meaningful interaction.
Quotation, order, payment, warranty, tax, accounting and legal-claim records may be kept for the period required or permitted by applicable law. Security logs, analytics data and cookies are retained according to the relevant security need, consent setting, Cookie Policy or provider configuration.

- correct inaccurate or incomplete data;

HEYI does not use the personal data submitted through its inquiry or lead forms to make decisions based solely on automated processing that produce legal or similarly significant effects on you.

We use reasonable technical and organisational safeguards designed to protect personal data against accidental loss and unauthorised access, use, alteration or disclosure. No internet transmission or storage system can be guaranteed to be completely secure.

We may update this Privacy Policy when our practices, services or legal obligations change. We will publish the updated version on this page and revise the “Last updated” date. Material changes may also be communicated through an appropriate additional notice.
